The journey, step by step

Four steps need something from you. The rest is our work. Nothing here waits on a regulator — your own dedicated number is a separate track that runs alongside, explained further down.

  1. 01Your turn5 minutes

    Subscribe and get your account

Pick a plan and pay by card. Your workspace is created immediately and a welcome email arrives with your sign-in link. No setup fee, cancel any time.

  2. 02Your turn15–20 minutes

    Tell us about your business

A short guided form in your dashboard. This is where your receptionist learns what to say and how to sound. Nothing technical — you configure nothing, you simply answer questions about your business.

    What we ask for
    • Business name, industry and website
    • Opening hours and time zone
    • Your main language, and any others your customers speak
    • What it should do: book appointments, capture leads, answer questions, transfer to a human
    • Where bookings and leads should go — email, calendar or CRM
  3. 03Your turn30 minutes, at your pace

    Send us your knowledge

Anything your receptionist should be able to answer: price lists, service descriptions, policies, frequently asked questions. You can keep adding after go-live — updates reach it within minutes.

    What we accept
    • PDF, Word, plain text and spreadsheets
    • A website, or specific pages we can read
    • Questions and answers typed straight into your dashboard
  4. 04Our turnHours 4–24

    We build your receptionist

We index your documents so it can search them while it is speaking, write its conversation guidelines from your form, choose a voice that fits your brand, and connect it to your bookings, calendar or CRM.

    What it connects to
    • Your calendar, so appointments are confirmed on the call
    • Your CRM — Salesforce, HubSpot, Pipedrive, Zoho and dozens more
    • Email and SMS, for leads that need to reach a person
  5. 05Our turnHours 24–36

We connect it to your channels

Website chat and WhatsApp start straight away — neither needs a new phone number. For calls, we forward your existing number to the receptionist, so you go live without waiting for a dedicated number to be issued.

    Live from the first day
    • The chat widget on your website
    • WhatsApp, once your Meta business verification is through
    • Calls, through a forward from the number you already use
  6. 06Together30–45 minutes

We test it together, before anyone else calls

A short call, scheduled when it suits you. We ring the receptionist together and walk through your real situations. You tell us what to change; adjustments are usually live within the hour.

    What we run through
    • A booking, from start to finish
    • The three questions your customers ask most
    • A caller who asks to speak to a human
    • A caller who speaks another language
  7. 07Your turnHour 48

    Point your calls at it

You decide how much it handles: all the time, after hours only, or only when nobody picks up. We tell you exactly what to ask your current phone provider for.

Most customers start with evenings and weekends for the first week, read the transcripts, then switch to full time once they trust it. You are never forced to hand over every call on day one.

Runs in parallel

Your own dedicated number

You do not need one to go live — you start on your existing number, forwarded. But most businesses want a number of their own eventually, and that request runs on its own track from day one, without holding anything up.

Most countries regulate phone numbers: the telecom authority requires proof of who stands behind a number before it can be issued. That is the law in your country, not our policy, and it is why this step has its own clock.

Usually required
  • Company registration document, or ID for a sole trader
  • Proof of a local address — a utility bill or a bank statement
  • The name and address the number will be registered to
You can follow every stage in your dashboard

Blurry, expired or mismatched documents are the single most common cause of a slow number. Send clear scans that match your registered company details and this usually closes in two to three working days.

The telecom authority

Not only voice — WhatsApp, Instagram and Messenger

The same receptionist, with the same knowledge, also answers written messages. Each channel belongs to you and is connected once — after that, messages land in the same inbox as your calls.

Who does what

These accounts belong to your business, so the access tokens can only be generated from your own Meta account — we never ask for your password. Most customers book a fifteen-minute screen share and we go through it together. The values are then pasted into Integrations in your dashboard and confirmed with Test Connection.

Start Meta business verification early

Before WhatsApp or Instagram will send a single message, Meta has to verify your business — company documents and a matching public presence. It commonly takes a few days and is entirely on Meta's side. Begin it the same week you subscribe and it will not hold anything up.

WhatsApp Business

10 min to connect

The channel most customers ask for first. Replies to someone who wrote to you within the last 24 hours are free service conversations. To open a conversation yourself, or to reply after that window, Meta requires a message template approved in advance — we help you write and submit them.

Before you start
  • A Meta Business account with business verification completed
  • A phone number that is not already on WhatsApp — a number used in the WhatsApp or WhatsApp Business app has to be deleted from it first
  • A display name for the account, approved by Meta
What you send us
  • Phone Number ID
  • WhatsApp Business Account ID
  • Permanent Access Token
Where to find it
  1. Meta Business Suite → WhatsApp → API Setup
  2. Copy the Phone Number ID and the WhatsApp Business Account ID shown on that page
  3. Create a System User and generate a permanent token — a token generated any other way expires after a few hours and the channel stops

Instagram direct messages

10 min to connect

The receptionist answers DMs sent to your Instagram profile, including replies people send to your stories. Instagram messaging runs through the Facebook Page your profile is linked to, which is why a Page is required even if you never post on Facebook.

Before you start
  • Your Instagram profile switched to a Business or Creator account — a personal account cannot be connected
  • The profile linked to a Facebook Page you administer
  • Allow access to messages switched on in the Instagram app, under Settings → Messages and story replies → Connected tools
What you send us
  • Instagram Business ID
  • Facebook Page ID
  • Page Access Token with the instagram_manage_messages permission
Where to find it
  1. Instagram app → Settings → Account type — switch to Business and link your Page
  2. Meta Business Suite → Settings — both IDs are listed against the linked accounts
  3. Generate a Page token that includes instagram_manage_messages

Facebook Messenger

5 min to connect

Messages sent to your Facebook Page. The simplest of the three to connect, because there is no separate account to verify beyond the Page itself.

What you send us
  • Facebook Page ID
  • Page Access Token with the pages_messaging permission
Where to find it
  1. Page Settings → Advanced Messaging → enable connected apps
  2. Generate a Page token with the pages_messaging permission

Telegram

3 min to connect

The quickest channel of all — no business verification, no Meta account, no documents. Worth switching on while you wait for the others.

What you send us
  • The HTTP API token from BotFather
Where to find it
  1. Open Telegram and message @BotFather
  2. Send /newbot and choose a name
  3. Copy the HTTP API token it gives you and paste it into your dashboard

After you are live

Nothing is frozen at go-live. You change what it says, and it changes within minutes.

Every call, written down

Full transcripts, recordings and outcomes in your dashboard. Search them the way you search email.

Change anything, any time

Update prices, opening hours or answers yourself. Changes reach the receptionist in minutes.

Outbound calling

It can call out as well — follow up on leads, confirm appointments, recover enquiries that went unanswered.

More than voice

The same receptionist, the same knowledge, on WhatsApp, Instagram, Messenger and Telegram.

Timings describe the normal case. The regulatory review for a dedicated number is set by each country's telecom authority and is outside our control.
